Hello Everyone -

Here we are again…Staff appreciation week, the beginning of fiscal year close, AND range adjustments!

On May 6, I sent a memo with an overview of the bargaining units’ scheduled July 2014 wages and UCRP implementations (http://www.hr.ucsb.edu/memos/2014/bargaining-units%E2%80%99-scheduled-july-2014-wage-and-ucrp-implementations). 

This memo sets out the specific schedules for the 3% range adjustment process for CX, PA, and SX.  We will begin the process on Friday, May 30, 2014.    The entire process will be handled centrally.  The only action we ask departments to take is AFTER the EDB update (the evening of June 5), is to please review the final EDB updates and confirm that all of your CX, PA, and/or SX employees were properly included in the range adjustments.

The effective date for these 3% range adjustments are as follows: 

  1. CX and SX employees - 07/06/2014 (with pay on July 30, 2014).
  2. PA employees - June 22, 2014 (with pay on July 16, 2014).

Please note that there will also be step increases for CX, EX, NX, and SX in July 2014, but those will be addressed in a separate communication.

3% Range Adjustment Schedule

May 30, 2014 – the PPS Freeze begins and the preliminary roster will be run (evening).

June 2 and 3, 2014 – HR’s review of the preliminary roster and necessary corrections.

June 3, 2014 – second run of the preliminary roster (evening)

June 4 and 5, 2014 – HR’s final review of the roster and any final corrections.

June 5, 2014 – EDB update (evening)

June 6, 2014 – PPS Freeze concludes and Departments review their employees to confirm the accuracy of the updates.

Early Preparation for the Step Increases

On Friday, June 6, 2014, Human Resources will initiate the preliminary rosters for the CX and SX step increases.  Prior to Friday, June 6, we ask that you please make sure you (or the person doing the Web Merit review) have specific PPS access to use the Web Merit system (not just regular PPS access).

How can you tell?

Log on to Web PPS (https://pps.ucop.edu/pp8/login.jsp), click on the "Web Merit" link from the Main Menu, and then click on the "Merit Review/Input" link from the Merit Menu.

If you get a message denying web merit access, submit an Access Request Form (http://www.hr.ucsb.edu/sites/www.hr.ucsb.edu/files/forms/PPS_Request_for_Access_Form.pdf) to Accounting.

Forms received by noon in the Accounting office will be processed that evening, and access will be available the next work day.

Also, the CX step increases require an overall performance rating of satisfactory or above so please make sure you have your performance evaluation information ready to go.  The most recent performance rating will need to be input as part of the step increase implementation.  You may refer to the performance rating used in the January 2014 CX step increase if that is still the most recent.  Employees without a written evaluation are deemed “satisfactory.”

Please verify that the Date of Hire field (IGEN screen to view, EPER to edit) for your CX employees is indeed the most recent date of hire without a break in service.  In instances where a CX employee transferred to UCSB from another UC campus without a break in service, please contact me to discuss the details of the situation. 

Review the PPS Date of Hire field (IGEN), PPS separation history (HSEP) and appointment history (HADC), Data Warehouse reports (Employee section, “Seniority Service Credit”) and/or personnel folders. If you need help in this area please contact Edna Arellano (x4048, edna.arellano@hr.ucsb.edu).
